Terms of Service

1. Acceptance of Terms
By accessing or using Talk2CRM (the “Service”), provided by Samford Labs (“we,” “our,” or “us”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, do not use the Service.
2. Description of Service
Talk2CRM is a mobile application that connects phone call data (via RingCentral) with CRM systems (via Zoho CRM) using artificial intelligence (OpenAI GPT-4o). The Service:
- Processes call transcripts to extract CRM-relevant data
- Suggests CRM field updates for your review and approval
- Extracts commitments and creates follow-up tasks
- Detects deal signals and buying indicators
- Enables natural language CRM searches
3. Accounts and Access
3.1 Third-Party Accounts
To use Talk2CRM, you must have active accounts with RingCentral and Zoho CRM. You authorize Talk2CRM to access these services on your behalf via OAuth 2.0. You are responsible for maintaining the security of these accounts.
3.2 Account Responsibility
You are responsible for all activity that occurs through your Talk2CRM connections. You must notify us immediately if you believe your connected accounts have been compromised.
4. Free Trial and Pricing
4.1 Free Trial
New users receive a free trial that covers the first 20 CRM records processed. No credit card is required for the free trial. After processing 20 records, a paid subscription is required to continue using the Service.
4.2 Paid Plans
Paid plans are billed monthly. Each paid renewal includes AI credits automatically. Pricing is as follows:
- Starter ($20/month): Core features with AI credits included each renewal
- Pro ($49/month): All features, more credits, priority support
- Team (Custom pricing): Multi-user, unlimited credits, dedicated support
We reserve the right to modify pricing with 30 days' notice to existing subscribers.
4.3 Cancellation
You may cancel your subscription at any time. Upon cancellation, you will retain access until the end of your current billing period. After that, AI-powered features will be disabled until you re-subscribe.
5. AI Credit System
5.1 How Credits Work
AI credits power Talk2CRM's intelligent features: voice-to-field mapping, commitment extraction, deal signal detection, and natural language search. Each AI operation consumes credits based on complexity.
5.2 Included Credits
Every paid plan renewal includes AI credits automatically. These credits are applied to your account at the start of each billing cycle.
5.3 Additional Credits
You may purchase additional credit packs at any time. You are never blocked mid-workflow — if your credits run out during a call processing, you can purchase more immediately.
5.4 Credit Expiration
Credit rollover policy will be communicated before public launch. Credits are non-refundable and non-transferable.
6. Zero-Delete Guarantee
Talk2CRM maintains a strict Zero-Delete Policy: the application codebase contains no DELETE HTTP methods for CRM operations. This means:
- Talk2CRM cannot delete records from your Zoho CRM
- The API service layer only supports GET, POST, and PUT operations
- Delete permissions discovered from your CRM are explicitly ignored
This is an architectural guarantee, not a policy promise. The capability to delete simply does not exist in the code.
7. AI Disclaimers
7.1 AI Accuracy
Talk2CRM uses artificial intelligence to process call transcripts and suggest CRM updates. While we employ a dual-pass Planner-Validator system and 3-strike learning to improve accuracy, AI-generated suggestions may contain errors.
7.2 Human Review Required
All AI-suggested CRM updates require your explicit manual confirmation before being written to your CRM. You are responsible for reviewing and verifying all suggested changes before approving them.
7.3 No Guaranteed Outcomes
We do not guarantee that AI processing will capture all relevant information from your calls, that suggestions will be accurate in all cases, or that the Service will improve your sales outcomes.
7.4 AI Data Handling
Call data sent to AI for processing is handled per our Privacy Policy. We enforce zero-retention (store: false) on all AI API calls. Data sent to AI is limited to transcript text, sanitized record values, and field schemas — never tokens, keys, or internal system identifiers.
8. User Responsibilities
You agree to:
- Use the Service only for lawful business purposes
- Review all AI-suggested CRM updates before confirming them
- Maintain the security of your connected third-party accounts
- Comply with all applicable laws regarding call recording and consent in your jurisdiction
- Not attempt to reverse-engineer, modify, or create derivative works of the Service
- Not use the Service to process data you are not authorized to access
Call Recording Compliance: You are solely responsible for ensuring that your use of call recording and transcription complies with all applicable federal, state, and local laws, including one-party and two-party consent requirements.
9. Intellectual Property
Talk2CRM and its original content, features, and functionality are owned by Samford Labs and are protected by copyright, trademark, and other intellectual property laws.
Your CRM data, call recordings, and transcripts remain your property. We claim no ownership over your data. The AI-generated suggestions are provided as a service and become your data once you accept them into your CRM.
10. Limitation of Liability
To the maximum extent permitted by law, Samford Labs shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:
- Inaccurate CRM data resulting from AI suggestions that you approved
- Lost sales or business opportunities
- Unauthorized access to your connected third-party accounts
- Service interruptions or downtime
Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim.
11. Disclaimer of Warranties
The Service is provided “as is” and “as available” without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
12. Termination
We may terminate or suspend your access to the Service at any time, with or without cause, with or without notice. Upon termination, your right to use the Service ceases immediately. Data stored locally on your device remains under your control.
13. Changes to Terms
We reserve the right to modify these Terms at any time. We will provide notice of material changes by updating the “Last updated” date and, for significant changes, by notifying you through the application or email.
14. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to its conflict of law provisions.
